POLICIES
For a complete list of policies and procedures, please view the Levels of Love Academy Parent Handbook. The information available on this page does not include all policies and procedures that parents are required to agree to prior to enrollment, but serves as a brief highlight of some of the most important information.
Tuition Policy
Tuition Payment: All tuition is due every MONDAY in advance of receiving services and is based on a weekly rate only. There are no discounted rates for holidays or any other days when the facility is not functioning. Payments that coincide with paydays (monthly, semi-monthly, bi-weekly, or weekly) must be made prior to receiving services. Your child may not attend after Tuesday if all fees are not paid. Please note that tuition payments are due regardless of the child’s attendance. Illness, vacation, late arrival, or doctors’ appointments do not excuse any portion of your weekly tuition.
All payments should be made in the form of cash, credit card, or money order only. No checks will be accepted.
Late Payment: Tuition will be considered late if not received by close of business day (6:00pm) on Monday. A fee will be assessed to all tuition payments made after Monday.
Failure to pay tuition is voluntary withdrawal from the program.
Withdrawal Policy: In the event you choose to withdraw your child, it is your parental choice and rights to do so; however, please be advised that you must provide Levels of Love Academy (LOL) a written notice of intent to withdraw, as well as an advanced paid tuition of two weeks in advance. If the notice or tuition is not provided, Levels of Love Academy reserves the right to seek legal action as a result of non-payment.
Payment Disputes: If failure of non-payment results in Levels of Love Academy having to take legal actions, the parent/guardian will be responsible to cover all legal/attorney fees incurred by the center.
Subsidized Care: Levels of Love Academy (LOL) will accept state and federal office vouchers providing our center is an eligible partner of these agencies. Each voucher will be considered on an individual basis. Parents of a subsidized child (those on ELC or VPK) must complete all required paperwork on time to continue enrollment at LOL. Parents of subsidized children are also personally responsible for the payment of tuition, in the event they become ineligible to receive childcare subsidies. The Early Learning Coalition covers 3 absences per month. Absences that accrue after that 3-day excusable allotment may be considered by the coalition IF the absences were a result of the coalition’s excusable reasons for absence.
Any tuition that ECL does not cover as a result of excessive absences, the parent/guardian is responsible for.
Financial Issues: Please note that Levels of Love Academy (LOL) realizes that there may be times when families will face the cares of life and may be unable to adhere to the terms and conditions of the tuition policy; therefore, in the event you experience any form of tuition hardship, or any issues with your account, please contact Patrice Levels, LOL’s owner and director to discuss.
Tax Statements: As a courtesy to our families, LOL will generate, at no cost, a year-end tax statement for every family to be available by January 31st of each year. These statements may be picked up and will only be issued to the parent or guardian identified in the child’s enrollment packet.
Dress Code Policy
Levels of Love Academy (LOL) has a MANDATORY uniform policy. All children as well as staff must adhere to this policy. Uniforms are to be worn Monday-Thursday, and Fridays are left open for jean days with our LOL spirit t-shirt, which parents will have the option to purchase at the school in the amount of $12. The uniform will consist of the following:
· Black, Navy Blue, or Kaki bottoms (to be purchased at any department store)
· Red, Royal Blue, Baby Blue, Black, White, and Grey Polo Shirts with school logo that can be applied by the school’s uniform vendor only. You are able to find these select colors at Children’s Place. All polo tops must have the LOL logo embroidered on them.
The vendor that has the LOL logo is located at 601 Main Street #1 Haines City, Fl 33844. He can be reached at 863-535-5729 and they are open Tuesday-Friday from 3:30-7:00pm.
Parents are prohibited from dressing children in overalls, or clothing with difficult closures. These types of clothing present particular challenges for children in relation to toileting.
Coats, jackets, hats, gloves, scarves and/or sweaters must be provided in the winter months. It is not necessary for the children to wear their winter clothing to school. The teachers will help the children put on appropriate clothing before they go outdoors. Daily outdoor play is very important for children, and all children in attendance at the facility will be taken outdoors for play on a daily basis. The only exceptions are rainy days, summer days when the heat index is over 100 and winter days when the wind chill factor is below 40 degrees. Please plan accordingly so that you child will have the appropriate clothing.
Children are not permitted to wear open-toed, and/or open-backed shoes or Crocs. The most appropriate type of shoes for participation in school activities are rubber-soled, sneakers/tennis shoes.
Children ages 3 through 5 are required to have one seasonal and size-appropriate complete change of clothing at the center at all times.
Children under 3 years of age are required to have two seasonal and size-appropriate, complete changes of clothing at the center at all times.
Several changes are required when starting toilet training. A complete change of clothing includes a shirt, pants, underwear, socks, and shoes. Teachers will post reminders for parents to update changes of clothing as the weather begins to change.
LOL is not responsible for washing children’s clothing. When accidents occur, the teacher will attempt to quickly hand-rinse the item and then place it in a plastic bag for your removal from the facility.
All clothing items must be clearly labeled with the child’s first and last name. This includes coats, jackets, hats, gloves, scarves, and sweaters. LOL is not responsible for lost items that are not properly labeled.
Jewelry/Accessories:
Children should not wear jewelry of any kind. It is a safety hazard for your child, may get broken or lost. LOL will not to be responsible for lost or stolen valuables. It is the parents’ responsibility to enforce this policy with their children.
Hair beads for children ages 12 months to 3 years of age are not permitted; however, barrettes, bobby pins, etc., can be worn by children. If, for any reason, the child takes them out of her hair, the child will not be able to wear them again. When choosing accessories for your children, be mindful of the potential safety issues they present not only for your child, but also for the older and younger children attending LOL.
Attendance Policy
Each day is a unique learning experience at Levels of Love Academy. Attendance is required unless unavoidable by illness. The full weekly tuition will be due regardless of the number of days attended. If your child will not be attending school that day, you must call the center no later than 8:00am to advise that the child will be out. No child will be permitted into the school after 8:30am without a doctor’s note from that morning. No other late arrivals will be permitted for any reason. Excessive absences may result in poor acclimation to our school setting and your child’s overall developmental achievements. Excessive absences, or 3 late pickups or drop offs is cause for immediate dismissal.
It is extremely important to us that our families value punctual arrival and pick-up times. Late arrivals impact the classroom’s setting as well as disrupt the child’s daily routine. We urge parents to cooperate with us to ensure that their child (ren) arrive no later than 8:30am to receive our full educational programming.
Levels of Love Academy’s Right to Refuse Admission:
LOL reserves the right to refuse admission to any child at any time with or without cause.
Possible reasons for the refusal of admission include but are not limited to:
· The need to maintain compliance with Licensing Regulations.
· Staff deems the child too ill to attend.
· Domestics Situations that present a safety risk to the child, staff or other children enrolled at LOL if the child were to be present at the center.
· Parents’ failure to maintain accurate, up to date records.
· Parents’ failure to complete and return required documentation in a timely fashion.
· Parents’ failure to pay.
· Child displays frequent behavioral issues that are beyond the control of LOL Academy
Parents WILL NOT be reimbursed tuition for days when their child is refused admission to the program.
Arrival Procedures: Levels of Love Academy aims to increase the academic success of each student. In order for this to take place, parents must ensure that students arrive in a timely manner. Children arriving after 8:30am will not be permitted without proper documentation of reason. Once children arrive, parents must ensure that each child is signed in on the daily sign in log.
Pick-Up Procedures: Parents or other authorized adults are required to sign their child out of care. Once the child is escorted from a classroom by staff, the parent is then solely responsible for supervising their child while on the premises. DCF requires that children remain under the supervision of an adult at all times. The parent may not allow a child to wander through the hallways, bathrooms, other classrooms and/or playground. Parents are required to handle all business issues prior to signing out their child and are required to directly exit the building once they have signed their child out of care.
Staff Signing out Children: LOL does not permit its staff, under any circumstances, to sign-out non-relatives or to use their personal vehicles to transport children to or from the facility, regardless of whether the transportation occurs during or outside of LOL’s hours of operation. Therefore, parents may not designate an LOL employee as someone authorized to take their child from the center at the end of the day unless that staff member is a relative of the child.
Late Pick-Up: Any child who has not been picked up by 6:00 PM will be considered late pick-up. All measurements of time are to be according to the LOL’s office clock located on the sign in kiosk. A fee of $10.00 per minute will be charged starting at 6:01pm.
A child’s service may be terminated should the child be picked-up late (15 minutes or more) on three occasions in one school year regardless of the reasons for the late pick-up. It is the parent’s responsibility to ensure that someone (either a parent or Emergency/Alternate pick-up person) is available to pick up the child on time.
VPK Policy
The Voluntary Prekindergarten Education (VPK) Program is a FREE educational program created to prepare every four-year-old in Florida for kindergarten and build a foundation for their educational success. In order for this to be effective, parents must adhere to the attendance policy. Levels of Love Academy operates the VPK Program from 8:30am-11:30am (3 hours) 5 days a week, for the 180 days of the school’s traditional school year accumulating a total of 540 instructional hours.
VPK Attendance Requirements:
Attendance: Attendance during scheduled instructional days is of utmost importance to remain in the VPK program. Student success in kindergarten is strongly linked to consistent attendance (including on-time arrival and departure at dismissal) in the pre-school program. Additionally, LOL’s funding is linked to student attendance.
Absences: Children are allowed up to 3 absences per month and parents should message the teacher or call the office if a child is absent.
Tardies: Students must be in class no later than 8:30am. Students are allowed 5 tardies per month. A pattern of tardiness involving another month with 5 or more late arrivals will result in removal from Levels of Love Academy’s VPK Program.
Early Dismissals: Children may be dismissed early for emergencies, but these should be few. Children are expected to participate in VPK activities until the scheduled 11:30am dismissal.
Please Note: Absences of 5 consecutive days require documentation to explain the absence. Documentation for planned absences, signed and dated by the legal guardian, must be submitted in advance detailing the reason for the extended absence. If a child is sick, a doctor’s note explaining the reason and duration for the absence is required. Failure to provide this documentation constitutes withdrawal from the VPK program from LOL. Withdrawals from the VPK program will not be eligible for re-enrollment in the VPK program.
Additional (non-VPK-program) Supervision: Students who arrive before 8:30a.m. will incur a fee of $30.00 for before school supervision. Students must be walked in by a parent to supervision area during this time.
Students are to be picked up at the scheduled dismissal time of 11:30a.m. Students remaining after 11:30a.m. will incur a fee of $10.00 for late pick-up until 12:30pm. Those remaining after 12:30pm will be charged a fee of $50.00.
Parents needing remaining supervision after the 11:30 am VPK’s dismissal, will be expected to pay LOL’s part-time tuition of $200 weekly. This fee applies to “extended care” for VPK students only.
Parents participating in the Early Learning Coalition’s (ELC) “Wrap Around” program for extended care will pay parent fees assigned by ELC.
Parents must sign Levels of Love Academy’s VPK Attendance Policy Acknowledgement Form upon completion of enrollment.
